Can I add custom fields to my presentation guestbook?

Company Administrators have the ability to create and enable up to 10 custom field labels and may allow authors to override the label on those custom fields, as well.

Note that there are only 10 custom fields available, so if the administrator gives authors the right to override fields, they are overriding the same 10 custom fields.

Once the fields have been designated, the field names should not be changed unless the integrity of the data collected for that custom field is not an issue.

For example, if custom field 1 is State, and while a presentation is active and being viewed, field 1 is changed to City, data collected will be changed in the middle of the report.  So, the first part of the data collected for a presentation will have the state in the custom 1 field, and the latter part of the report will have city in the custom 1 column. 

 

To apply custom fields:

  1. Select My Applications, then Administration
  2. Select Presentation Settings, then Guestbook Options
  3. Select the checkboxes under the Enable column for Custom 1-10
  4. Enter a Field Label for each field name enabled
  5. Select the checkbox "Update ALL existing presentation guestbooks."
  6. Select Submit

To change the custom field labels:

  1. Follow steps 1-3 above
  2. Enter new text for each textbox under the Field Label column
  3. Select the checkbox 'Update ALL existing presentation guestbooks."
  4. Select Submit

To make a customized dropdown list for a Field Name:

  1. Select My Applications, then Administration
  2. Select Presentation Settings, then Guestbook Options
  3. Select the "Choose from list" checkbox for the appropriate field name
  4. Enter text to appear in dropdown separated by semi-colons (;)
  5. Select the checkbox 'Update ALL existing presentation guestbooks."
  6. Select Submit

To allow authors to override the custom guestbook field labels per presentation:

  1. Select My Applications, then Administration
  2. Select Presentation Settings, then Guestbook Options
  3. Select the checkbox "Allow authors to override custom guestbook fields."
  4. Select Submit
