Company Administrators will now have the ability to customize self-registration templates! By controlling the fields that will be displayed to users on the self-registration page for the user profiles, Company Administrators can now capture user information more closely associated with their company.
NOTE: If you are currently using a custom self-registration process and would like to have these new features enabled, please contact your customer success representatives.
How to enable Self Registration
- From your Brainshark page, click on your picture in the top-right corner of the page and select Administration from the drop-down menu.
- On the ‘Advanced Options’ card, click on Self registration.
- From the ‘General Properties’ menu, toggle the Allows users to automatically register themselves for Brainshark switch. This will now enable Self registration.
- (optional) Enable any additional preferences you'd like to apply:
- Show Self-Registration link on login page: use this option if you want to provide users with the option to self-register from your company's login page. Toggling this setting to ON will add a link for visitors to create a new account using the default self-registration template you selected.
- Domain Restrictions: use this section to enter one or more domains to restrict self-registration to allow or block users from the specified domain(s). For example, you could enter your company’s domain and permit only users coming from this domain to register. These must be fully hosted domain names such as "doc.private.com" or "www.public.com".
- Click the Apply button to save your changes.
How to change email templates
- From the ‘Advanced Options’ menu, select Email templates from the list.
- You now have the ability to change the text within the Welcome email and Registration notification emails. You can scroll down to each section to make your desired changes.
- Click the Apply button to save changes.
NOTE: Below is the list of valid replacement parameters you may use in the email body. Please note that these values are case-sensitive.
- {{FirstName}}
- {{LoginDirectory}}
- {{UserName}}
- {{Password}}
- {{CompanyName}}
How to change fields
- From the ‘Advanced Options’ menu, select Form options from the list.
- Select the self-registration form you wish to edit by selecting the profile you want to customize.
- After selecting the profile you wish to edit, you can customize the fields of the self-registration form by selecting and deselecting the form options you want to appear on the self-registration form.
- To have your form field be a required field on your self-registration form, check off the Require button next to the given form field.
- You can add custom fields to your list by enabling a custom field and then entering the name of the new field in the Custom Label box.
NOTE: Custom fields are tied to the user profile. Custom labels will be shown on the self registration page for any custom fields that are enabled and or required and will auto-populate the appropriate custom form field on the account creators user profile. (Ex. Jane Doe puts ‘Marketing’ under the Custom Field 1 called ‘Division’. Jane’s new user profile will now show ‘Marketing’ under the Custom 1 field.) - Click on the Apply button to save any changes you have made to your self-registration form.
How to set a default form:
- From the ‘Advanced Options’ menu, select Form options from the list.
- To change the default form, select the ellipsis icon next to the form you would like to make the default.
NOTE: This will be the default form that new users will see when accessing the registration form from the login page.
Note: Only one self-registration template/link can be displayed on your Brainshark login page at a time. - Select Set user profile as default from the list and click on the Apply button.
- You will now see the default icon next to the new default registration form.
How to change email notifications
- From the ‘Advanced Options’ menu, select Form options from the list and scroll down to the Self Registration templates list.
- Mark the checkbox in the Send 'Welcome' email to new users column to automatically generate an email to new users including a link to your Brainshark site, their username and password, and an introduction to Brainshark.
- Mark the checkbox in the Send registration notification column to receive an email each time a new user self-registers for an account using this template. You will then be notified of the new username that was created as well as the Brainshark URL the account is registered through.
- Give the template a Profile Name in the textbox shown.
- Click Apply once you've made your changes.
- You can also edit any user properties, permissions, and roles given to each template by clicking the Actions ellipsis icon below.
How to customize the format
- From the ‘Advanced Options’ menu, select Form options from the list.
- Select the self-registration form you wish to edit by selecting the profile you want to customize.
- Upload a custom logo for your self-registration form, by clicking on the Choose file button under the custom logo section.
- Customize the header text that will appear at the top of your form, by entering your customized message in the Header Text text box.
- Group your form options into categories by enabling and customizing the titles of each form category.
- Customize the text that will appear at the end of the self-registration form, by entering your customized message in the Terms and conditions text box.
- Click on the Apply button to save any changes you have made to the form.
- Preview your self-registration form by clicking on the Preview button.
